How to Embed Fonts in a PDF

Embedding your fonts will help avoid unexpected issues when printing or sharing your PDF files between different computers.

Depending on what version of the program you're using, the steps or wording may be slightly different.

  1. Open your Word document and go to "File" in the top menu.
  2. Choose "Save As" or "Save As Adobe PDF" to open the Save As dialog box.
  3. In the Save As dialog box, select a location to save your PDF file.
  4. Click on the "Options" button to open the Options dialog box.
  5. In the Options dialog box, select the "Save" tab.
  6. Check the box that says "Embed fonts in the file" and select the appropriate option for embedding all or only the characters used in the document.
  7. Click "OK" to save the options, and then click "Save" to create the PDF with embedded fonts.

Depending on what version of the program you're using, the steps or wording may be slightly different.

  1. Open your Publisher document and go to "File" in the top menu.
  2. Choose "Save As" or "Save As Adobe PDF" to open the Save As dialog box.
  3. In the Save As dialog box, select a location to save your PDF file.
  4. Click on the "Options" button to open the Options dialog box.
  5. In the Options dialog box, go to the "Commercial Press" section.
  6. Check the box that says "Embed fonts in the file" and select the appropriate option for embedding all or only the characters used in the document.
  7. Click "OK" to save the options, and then click "Save" to create the PDF with embedded fonts.

  1. Open your PowerPoint presentation and go to "File" in the top menu.
  2. Choose "Save As" or "Save As Adobe PDF" to open the Save As dialog box.
  3. In the Save As dialog box, select a location to save your PDF file.
  4. Click on the "Options" button to open the Options dialog box.
  5. In the Options dialog box, select the "Save" tab.

  6. Click on the "Save" button.
  7. In the Adobe PDF Preset dropdown menu, choose the desired preset for high-quality print (e.g., "High Quality Print").

  5. In the Fonts section, select the option to embed all fonts or subset the fonts based on percentage of characters used.
  6. Click "OK" to save the settings, and then click "Save" to create the PDF with embedded fonts.
